e-commerce / fulfilment
Business is all about adaptability and seizing new opportunities, the greatest of which is the migration to an electronic medium. When we emerge from this embryonic phase most business will be conducted in this manner. Either traditional EDI messaging, Web enabled, XML or through mobile technology.
Business itself hasn't changed with this new medium and this is often forgotten when companies rush for an on-line presence. The emphasis is placed on the front end user interface, often with neglect to the back office systems.
For electronic commerce to work, there needs to be a seamless integration from the front end right through to the back office. This means that the efficiencies that come with the process become more and more important when human interaction with your customer is replaced.

Customer Interface - online inventory/credit verification
A customer can log onto a web site, enter a customer code and password and automatically be linked to a specific price matrix live from the back office database. As items are added to a shopping card, the inventory system can be checked for availability and a sales allocation made in real time. A customer's credit availability (non-cash transactions) can be verified and allocated in a real-time.
The customer's shopping profile can be stored for a 'fast shopping' interface, and maintained for Customer Relationship Marketing (CRM).
As the shopping cart is accepted, the items are transferred from a 'temporary file' stored on the back office system to a confirmed sales order. The customer is sent an e-mail message confirming the order with a tracking number.
Dispatch / Distribution
The orders can then be scheduled by the back office system for delivery based on the user's criteria. For example, by delivery time, by consumer, by area, etc. (deliveries may also be grouped and picked together).
Picking slips are generated by the system for the main warehouse. A single order can be split over various bays dependant on the physical outlay of the warehouse.
As a bay has completed picking, the goods are sent for scanning and order consolidation. The system will then track when an order is complete and issue packing instructions. The goods are scanned as a complete order, packed, documentation produced and shipped. A shipping confirmation may be sent via e-mail to the customrer.
The scanning is compared to the original order placed on the web. This ensures 99.999% accuracy.
The goods are then consolidated for shipping and collected by a courier. The system may electronically send the airwaybill details to the courier's system.
After Sales
There is a fully integrated after sales module which may be attached to a call centre. It includes:
- call logging
- product / customer recognition
- customer history
- re-order / replace customer goods
EDI - Traditional
The system has its own EDI interface using standard UN mapping. This allows the user to share information with other electronic systems including:
-placing electronic orders with suppliers
-receiving electronic orders from other customers
-Interfacing to courier/logistic companies
-interfacing with banking institutions
